Board Position Descriptions
PTA President
Lead PTA Meetings
Check-in with Committee Chairs about the progress of programs and events
Set the Calendar of Events (with Principal and member feedback)
Provide feedback to Treasurer to help create the budget
Coordinate discussions with Board members and/or General Membership relating to feedback and consensus for operational changes
Reserve School Property spaces for PTA events through the County EMS (Event Management System)
Sign all contracts for PTA funded activities
Treasurer
Prepare the budget in collaboration with feedback from the Board
Properly receive, deposit, and disperse funds according to the bylaws and approved budget
Share the treasurer’s report at each PTA meeting
Pay all authorized PTA financial obligations
Prepare and submit forms (for taxes, insurance, etc)
Maintain records, prepare and arrange for financial review
Retain financial documents
Secretary
Records minutes for all PTA meetings

Attend PTACHC (PTA Council of Howard County) meetings once a month

PTA COMMITTEES
Fundraising Committee
The PTA fundraising committee is essential in helping raise the funds needed to support Ilchester Elementary School and its students. This committee is responsible for organizing and overseeing the PTA’s fundraising efforts, which typically include restaurant nights throughout the school year, Square 1 Art in the fall, and an annual giving appeal in the spring.
Committee members work together to coordinate these events with the school and community, ensuring they are well-communicated and successful. No prior experience is necessary - just a willingness to contribute! The overall time commitment is approximately 1 hour per month, making it a manageable yet impactful way to support the school.
Hospitality Committee
The PTA Hospitality Committee is dedicated to showing appreciation to the hardworking staff at Ilchester Elementary School. This committee organizes a variety of events throughout the year to express gratitude, including staff lunches, special treats, the STARS program, and the much -anticipated Staff Appreciation Week in May.
Committee members plan, coordinate, and execute these events, working both during the school day and behind the scenes to ensure everything runs smoothly. Whether it’s helping set up for lunches or preparing appreciation gifts, every contribution helps make our staff feel valued. No prior experience is needed! The time commitment varies depending on the events and we welcome both in-school volunteers and those who can assist outside of school hours.
Events Committee
The PTA Events Committee is responsible for planning and organizing fun, community-building events for Ilchester Elementary School. This committee coordinates a variety of activities, including family nights, school dances, and seasonal events like the Fall Festival.
Committee members collaborate with school staff, vendors, and volunteers to ensure each event runs smoothly and provides an enjoyable experience for students and their families. Tasks include brainstorming event ideas, managing logistics, and promoting events within the school community. No prior experience is necessary - just creativity and enthusiasm! The time commitment varies depending on the event, but it averages around 1-2 hours a month.
Membership Committee
The PTA Membership Committee is focused on building and maintaining a strong and engaged PTA community at Ilchester Elementary School. This committee works to recruit new members, encourage involvement, and communicate the benefits of PTA membership to parents, staff, and the community.
Committee members organize membership drives, create promotional materials, track membership data, and showcase the PTA’s contributions to the school’s success. The goal is to make all families feel welcome and motivated to join the PTA, helping strengthen our school community.
No prior experience is necessary. The time commitment is typically about 1 hour per month, with more activity during key times of the year, such as the start of school and during special events. If you’re passionate about supporting the school and promoting the PTA’s impact, this is the perfect way to get involved!
